When writing business letters, you must pay special attention to the format and font used. Using this format, the entire letter is left justified and single spaced except for a double space between paragraphs.
Justified text is spaced so the left and right sides of the text block both have a clean edge. The usual alternative to justified text is left-aligned text, which has a straight left edge and an uneven right edge. Compared to left-aligned text, justification gives text a cleaner, more formal look.
justifiedtext is aligned along the left margin, and letter- and word-spacing is adjusted so that the text falls flush with both margins, also known as fully justified or full justification; centered text is aligned to neither the left nor right margin; there is an even gap on each side of each line.
Fully justified text produces neat, vertical margins that create the sense of a line on each side of the document. Justified text tends to look formal and serious, and that's why professionally printed documents are often fully justified. For example, nearly all books use justified text.
Right-aligned. Justification controls the spacing between words. A justified text increases the space between words to fill the entire line so that it is aligned with both the left and right edges.
The block-style format uses 1-inch margins all around. Everything in the letter is typed flush left. The only exception is when the letter is written on letterhead. In this case, the letterhead is printed at the top and generally centered.
There are three main styles of business letter: block, modified block, and semi-block styles.
Most formal letters are formatted in what is called a “block" style. When you look at the document as a whole, the text should form blocks on the page. Different blocks include a heading, address, greeting, body and closing with a signature line. Usually a block-style letter lines up all the text on the left.
Semi-block format Semi-block is similar to block but has a more informal appearance. All elements are left-aligned, except for the beginning of each paragraph, which is indented five spaces. Paragraphs are separated by a double line space. See an example of a letter in semi-block format.
Semi-Block Business Letter The main difference between this type of correspondence and others is that the first line of each paragraph is indented. The semi-block format business letter is a little less formal than the block format letter and slightly more formal than the modified block format letter.
