To format a numeric merge field, use the \\# switches. For example, to display a currency field as “$125.23", the merge field should be defined as {SEDGEFIELD myObject. myField \\# $#,##0.00}. To format a date merge field, use the \\@ switches.
If you want the number to have a dollar sign before it (for anything that is money), use \\#$# in your merge field. If you want commas in your number, use \\##, ### in your merge field. If you want dollars, rounded to two decimal places with commas, use \\#$#, ##0.00 in your merge field.
In Word, in the Main Document, press Alt+F9 to view the field codes. Find the field code for the number. It will look something like: { MERGEFIELD FieldName } Add a switch, to format the number with two decimal places. For example: Press Alt+F9 to hide the field codes. Save the Main Document. In the template document, while the merge field is selected, do the following to display the field code: Press Shift + F9 on Windows. Press Fn + Shift + F9 on Mac. Remove " \\* MERGEFORMAT " from the field code. Enter the switch in the field code. For example: Update the field: Press F9 on Windows.
Select the field, such as Amount, as shown in this example. Press [Alt] + F9 to reveal the field coding. Edit the field by simply inserting a numeric switch code to the end of the field. Press [Alt] + F9 again.

Once the merge field has been modified, place the cursor within the braces and press F9 to hide the field code. To toggle all the merge fields in a document, press Alt+F9. Merge fields can be nested and to enclose existing merge fields within a new merge field, select the existing merge field and press Ctrl+F9.
If you simply want to remove the appearance of seconds, use one of the Time formats or the Custom format HH:mm or [h]:mm. To change a cell format, select the cell(s), right-click and click on Format Cells, then click the Number tab.
Applying a date format switch fixes that — and gives the mailmerge document the ability to format the date independently of whatever format is used in the data source. To get the date format you want, you can add a formatting picture switch as follows: select the merge field; press Shift-F9 to expose the field coding.
1. Select a blank cell, and type this formula =TIME(HOUR(A1), MINUTE(A1), SECOND(A1)) (A1 is the first cell of the list you want to extract time from), press Enter button and drag the fill handle to fill range. Then only time text has been ea traced from the list.
