Create or open the appointment or meeting that you want to make private. On the Meeting or Appointment tab, click Private. Save or send your meeting or appointment as usual. Any meeting attendees will be able to see the details of the meeting.
Outlook allows you to mark appointments as private, but the term is a bit misleading because the interface will still display the appointment by subject in Calendar view. However, people standing nearby can see those items on your calendar, if they're close enough.
Your delegate won't see any meetings or appointments that you've created and marked as private. They'll just see that there is a private appointment. If you want them to see (and edit) your private appointments, switch on the Delegate can see my private items option.
How others see your calendar. Other staff can view your calendar using Outlook 2016 or Outlook Web App. When other staff view your calendar they will see your availability (free/busy information). They won't see the details of your appointments unless you have shared your calendar with them.
By marking a calendar item (appointment, meeting, or event) as Private, you hide the details of the item from people who have permission to view your calendar. When someone uses Outlook 2016 for Mac to view another person's calendar, items marked Private do not appear at all.

Marking a meeting or appointment private can hide some meeting details from others in your organization. Important: If you share your Calendar, Contacts, or Tasks folders with one or more people who have Read permissions, the Private feature will not prevent them from seeing the details of your appointments.
