Preparing Form W-2 Entries are read by machine. Handwritten, script, or italicized fonts and entries made in other than black ink can't be read. Make all dollar entries without the dollar sign and comma but with the decimal point (00000.00). Show the cents portion or use zeroes for no cents.
You might wonder, “Can a W-2 be handwritten?” No, it cannot. It is unacceptable to send handwritten W-2 forms to employees and the SSA. You should print your Forms W-2 instead.
Who signs the W-2 form? The W-2 form is signed by the employer or the person who represents him and is responsible for calculating and calculating taxes. The second signature is put by the employee to whom the form is addressed. An employee receives this form, already signed by the employer, by e-mail.
You may print government accepted black and white laser W-2 Copy A and W-3 forms on plain paper (there's no need to buy pre-printed red W-2 Copy A or W-3 forms). The IRS requires the use of perforated paper for any Employee Copy W-2 that's printed on plain paper.
