Embedding or Linking? You can add objects such as a file, an image or an audio file to a Word document, an Excel spreadsheet, an HTML document by linking or embedding. The main difference between linking and embedding is where the data are stored and how they are updated after they were linked or embedded.
Object linking and embedding (OLE) is a Microsoft technology that facilitates the sharing of application data and objects written in different formats from multiple sources. Linking establishes a connection between two objects, and embedding facilitates application data insertion.
OLE. Stands for “Object Linking and Embedding.” It can be pronounced as “O-L-E,” or “Oh-lay!” if you are feeling Spanish. OLE is a framework developed by Microsoft (way back in Windows 3.1) that allows you to take objects from a document in one application and place them in another.
The main difference between linking and embedding is where the data are stored and how they are updated after they were linked or embedded. Your file embeds a source file: the data are now stored in your file -- without a connection to the original source file.
Embedded Document. An embedded document is when one document (often a structured text file, or a binary, or anything else) is embedded within another. The embedded text may not obey the formatting requirements of the host language. The obvious example is embedding C or Java code in HTML or XML.
Linking to and Embedding Multimedia Files. When a visitor clicks on a hypermedia link (i.e., a link leading to a multimedia file, such as a graphic, audio, or video file), the Web browser will load a helper application (e.g., QuickTime Player), if necessary, to play the file.
One advantage of linking a document (other than maintaining the connection) is that it keeps your Word document's file size down, because the data is mostly still stored in the Excel sheet and only displayed in Word. One disadvantage is that the original spreadsheet file needs to stay in the same location.
An embedded file can be quite convenient for users of the presentation or document, as they will be able to view the file or graphic right in the document without having to click through a link or follow a web address, which may require the user to log in first or jump through other hurdles.
