To proofread means to read a text carefully to check it for errors and general tone. You should always proofread a business letter before sending it. The most important thing when proofreading any document is to read the text out loud. Print the letter rather than read it on your computer screen.
Write first, proofread last. Print a copy. Change how it looks. Work on one section at a time. Take your time.
Proofread backwards. Place a ruler under each line as you read it. Know your own typical mistakes. Proofread for one type of error at a time. Try to make a break between writing and proofreading. Proofread at the time of day when you are most alert to spotting errors. Proofread once aloud.
Print out a hard copy while proofreading on screen. Ensure the document makes sense. Use your computer spellchecker. Use a pencil to point to every single word. Check the title or headline. Check telephone numbers by calling them.
Go to 'File'. Click on 'Options'. In the menu on the left-hand side, choose 'Proofing'. Under 'When correcting spelling and grammar in Word', check that 'Grammar & more' (if using Word 2016, otherwise this will be 'Grammar & Style') is selected from the dropdown menu.

Click and drag the cursor on the text that requires the mark, then click the drop-list in the Proofreading group on the ribbon.
In hard copy proofreading, corrections typically appear in the left or right margins beside the line containing the error. A mark is also placed in the text to indicate where the correction needs to be made. A caret (^) indicates an addition, and a line through the text indicates a deletion or a replacement.
