A certified copy is a copy (often a photocopy) of a primary document that has on it an endorsement or certificate that it is a true copy of the primary document. A notarized copy is signed by a notary public (not to be confused with a notary in a civil law country).
Many states allow notaries to make certified copies of documents as long as the original document is not a publicly recorded document. Documents that clients may ask to have certified by a notary include contracts, letters, settlement statements, agreements, and bills of sale.
As with all notarial acts involving a document, you must complete a notarial certificate for copy attestation. Very few if any documents presented for copy attestation will come with the proper notarial certificate you will need to create one. You cannot just write “true copy” on the photocopy and put your seal on it.
As document signing evolves and more things become electronic, the process of submitting documents electronically has become more common. Some places will accept faxed copies or scanned copies of notarized documents as well. Can a notary perform their services via email? That answer is no.
Notarizing a document does not make it legal. The contents of the document must comply with the law. The document preparer and signer should have the document reviewed by a competent, licensed attorney to get legal advice or a legal opinion on whether the document is legal.
What's the difference between a true copy and a certified true copy? A certified true copy is a special copy of an original document, made by a person such as a notary public, lawyer or commissioner. A true copy is simply a copy made from an original document, without the certification attached to it.
