Include a title If you know the person's job title, write it on the second line. If you don't have this information, put the name of the department instead.
Titles. You should almost always use a title when addressing a person in a business letter. For example, when typing out the inside address, write "Mrs. Ann Smith" instead of "Ann Smith." The exception to this is if the person has honorary initials, such as Ph. D.
A cover letter title usually refers to the title of the file your cover letter is saved as. Good cover letter titles make it easier for the hiring manager to identify your specific cover letter from the hundreds of application files they receive daily.
Write the person's company and address directly underneath his name. Type up your salutation line. This should include Mr., Miss, Mrs., Ms. or any other title, such as Doctor, Rabbi, Father, Sister or Reverend. For women, use the salutation she prefers, however if you are unsure, write Ms.
Use Sir or Madam if you do not know the recipient's name. “Dear Sir,” “Dear Madam,” or “Dear Sir or Madam” are all perfectly acceptable salutations for a formal letter. This is slightly more personal than a general salutation.
The Salutation It often begins with “Dear {Person's name}.” Once again, be sure to include the person's title if you know it (such as Ms., Mrs., Mr., or Dr). If you're unsure about the person's title or gender then just use their first name.
