I. PURPOSE This information policy is to provide for the management of the use of the Internet and Internet based services within the Department. II. GENERAL PROVISIONS. A. The Department shall provide for the establishment of protocols for the proper operation of the Department's intranet and intranet based systems and the management of the Internet. Department personnel that are assigned to facilitate this administration shall perform all tasks assigned by Department of Corrections administrative personnel. B. Department users shall adhere to these protocols and procedures for the proper operation of the intranet and intranet based services within the Department. The Department of Corrections will use its discretion to deny, revise, suspend or remove intranet/extranet services unless otherwise authorized. C. Internet/intranet use by a Department employee does not constitute conduct for the purposes of an administrative action. D. The Department shall comply in all respects with standards or codes developed by others. E. All inter-agency or joint task forces, group plans, or group work sessions involving the Department shall be pre-approved and coordinated prior to commencing. The Department shall ensure that all Department personnel are aware of specific standards or codes and shall adhere to all the standards/codes during all Department employee tasks that involve the Department. F. Intranet/extranet usage for research will be permitted and conducted in accordance with established departmental policies. G. Information, records, and other relevant data maintained within the Department's intranets, including email, shall be the property of the Department. Department employees are authorized to store any information, records or data that they have acquired directly or indirectly relating to the Department, its functions, components or operations on the Department system, when they have been granted access as authorized in MPP 01-119. H. The Department will maintain a written record of all usage on the Department intranet. Such records will be located on Department computers and are not subject to search by Department personnel. All intranet usage shall be in accordance with Department policies and procedures. Personnel may only request use of Department intranet files from an authorized Department official. All inter-agency or joint task forces, group plans, or group work sessions involving the Department shall be pre-approved and coordinated prior to commencing.
