For pdfFiller’s FAQs

Below is a list of the most common customer questions. If you can’t find an answer to your question, please don’t hesitate to reach out to us.
You'll need an employer identification number (EIN) if you're responsible for a nanny tax, but this doesn't have to be a challenge. It's a simple matter of going online and applying for one. You can also mail or fax Form SS-4 to the IRS to apply.
Do You Have an Employer Identification Number (EIN)? If you have household employees, you will need an EIN to file Schedule H. If you don't have an EIN, you may apply for one online by going to IRS.gov/EIN.
Federal Unemployment Tax Act (FTA) If you paid cash wages to household employees totaling more than $1,000 in any calendar quarter during the calendar year or the prior year, you generally must pay federal unemployment tax (FTA) tax on the first $7,000 of cash wages you pay to each household employee.
Paying your nanny on the books provides them with all the protections and benefits that other professionals enjoy (i.e. Social Security income, Medicare, unemployment benefits). It also enables them to build a credit history, so they can qualify for a car loan or mortgage.
Avoiding the Nanny Tax By Paying Under the Table is illegal. Not withholding and paying taxes on your nanny's wages is not only illegal, but puts your family at financial risk.
How much will I have to pay in nanny taxes? A good estimate is 10 percent of your nanny's gross wages, but this can vary by state. Social Security taxes are 6.2% and Medicare taxes are another 1.45%. The rest is made up of unemployment insurance taxes and any additional taxes your state may assess.
Nanny taxes are Social Security and Medicare (FICA) taxes, and you're legally obligated to withhold them from your employee's earnings if you pay them $2,200 or more in calendar year 2020.
Fill out Form W-4 before your first day of work When you're hired, your employer should give you a Form W-4 (and a state withholding form if you live in a state with income taxes) so they can determine how much in income taxes to withhold each pay period.
Your nanny pays: 6.2 percent of wages for Social Security and 1.45 percent for Medicare for a total of 7.65 percent is withheld from their pay. You can choose to pay this yourself and not withhold.
Steps to Generate a W-2 for your nanny Go to the online tool found at http://www.socialsecurity.gov/employer/. Click on the button to Log in to Business Services Online (or Register if you have not done so previously). Follow the instructions to report Wages to Social Security, and Create Forms W-2/W-3.
Typically nannies are given a cost of living raise in addition to a merit raise. The average nanny raise is about 5-10% of her salary. Nannies also appreciate a year-end or holiday bonus. Typically, nannies receive 1 to 2 or more weeks of paid salary as a bonus.
We recommend that nannies wait to ask for a raise until they have worked for at least one year with a family. You will want to use our nanny contract article as a guide. If you're anxious and want to show how career-driven you are, you could ask for an informal review after six months of work.
Plain and simple, nannies are much more expensive than daycares, so if you find yourself stretching just to pay a daycare rate, you shouldn't even consider hiring a nanny. There are many others less expensive, quality childcare options if you can't afford a nanny.
It's important to note that nanny taxes work differently from federal income taxes. As a household employer, you're not required to withhold federal income tax from wages you pay your household employee. If you do withhold federal income tax from the employee's wages, then you're responsible for paying it to the IRS.
Since you don't pay nanny taxes, including unemployment taxes, you can expect a call from your state with failure-to-pay and failure-to-file penalties, which can add up to 50 percent of the tax due. That's on top of the unemployment taxes you neglected to pay while employing your nanny.
