IRS Instruction W-2 provides guidelines for employers to report wages, tips, and other compensation paid to employees, as well as the taxes withheld from those payments. W-3 is the transmittal form that summarizes the W-2 forms and is submitted to the Social Security Administration.
Employers who pay wages, salaries, or other forms of compensation to employees are required to file IRS W-2 forms for each employee. Employers must also submit the W-3 form annually to summarize the total earnings reported on all W-2 forms filed for that year.
To fill out W-2, employers must provide their business information, employee's details, total earnings, taxes withheld, and applicable codes for retirement plans and other benefits. For W-3, employers aggregate the total information from all W-2 forms, including total wages, tips, and taxes withheld, and report it on the W-3 form before submitting.
The purpose of IRS Instruction W-2 is to ensure accurate reporting of employee earnings and deductions to the IRS and for employee tax records. W-3 serves to summarize this information for the Social Security Administration and reconcile reported amounts.
W-2 must report details such as the employer's identification information, employee's identification details, total wages, tips, other compensation, and federal and state income taxes withheld. W-3 must report the total number of W-2 forms submitted, total earnings, and taxes withheld for the year.
